How Linux Intelligence handles your personal data

Last updated: June 2025

1. Who we are

Linux Intelligence is a brand operated by SysGroup. When this policy refers to "Linux Intelligence", "we", "us" or "our", it refers to SysGroup as the data controller responsible for processing your personal data through this website (linuxintelligence.com).

For data protection inquiries, please contact us at: privacy@linuxintelligence.com

2. What data we collect and why

We only collect personal data that you provide to us voluntarily through the contact forms on this website. We do not use analytics tracking scripts, behavioral profiling or advertising cookies.

2.1 Contact form submissions

When you submit a contact form (including the general contact form, emergency support form or service finder inquiry), we may collect:

  • Full name — to address you correctly in our response
  • Business email address — to communicate with you
  • Company name (optional) — to understand your business context
  • Phone number (optional) — for urgent situations where you request a call
  • Country (optional) — to understand the relevant regulatory and operational context
  • Website or infrastructure URL (optional) — to prepare for our conversation
  • Message content — your inquiry, description of your infrastructure situation or support request
  • Service interest (optional) — the service category you selected in the form

2.2 Legal basis for processing

We process your data on the following legal bases under the General Data Protection Regulation (GDPR):

  • Consent (Article 6(1)(a) GDPR) — you provide explicit consent via the checkbox in each contact form before submitting your data.
  • Legitimate interests (Article 6(1)(f) GDPR) — we have a legitimate interest in responding to genuine business inquiries and preventing spam or abuse.
  • Pre-contractual steps (Article 6(1)(b) GDPR) — processing necessary to take steps at your request prior to entering a service agreement.

2.3 Technical data (server logs)

Our web server may automatically log standard HTTP request data, including IP addresses, browser type, referring URL and request timestamps. This data is processed for security, abuse prevention and server stability purposes. It is not used for marketing or profiling. Log retention follows standard server hygiene practices (typically 30–90 days).

3. How we use your data

We use personal data submitted through our contact forms exclusively to:

  • Respond to your infrastructure inquiry or support request
  • Prepare a relevant technical assessment or proposal
  • Communicate with you regarding the services you have expressed interest in
  • Send you a confirmation email acknowledging receipt of your inquiry

We do not use your personal data for unsolicited marketing emails, behavioral advertising or profiling. We will not contact you for unrelated commercial purposes without a separate and specific consent.

4. Data sharing and third parties

We do not sell, rent or trade your personal data to any third party.

Your form submissions are processed via our contact form backend and delivered to our internal team by email. Email delivery uses an SMTP service. We take reasonable steps to ensure that any email infrastructure used for this purpose operates within appropriate data protection standards.

We do not share your data with advertising networks, data brokers or any third party for commercial purposes.

We may disclose your data only if required to do so by applicable law, court order or regulatory authority, and only to the minimum extent required.

5. Data retention

We retain personal data submitted through our contact forms for as long as necessary to respond to your inquiry and maintain a record of our business correspondence. In practice, this means:

  • Inquiries that do not lead to a service engagement are typically retained for up to 12 months.
  • Inquiries that lead to an active or past service engagement are retained for the duration of that engagement and for a reasonable period thereafter as required by applicable law or legitimate business need.

You may request deletion of your data at any time (see Your Rights below).

6. Data security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, accidental loss, alteration or disclosure. Contact form submissions are transmitted over encrypted HTTPS connections. Our form backend applies input validation and anti-spam measures (including a honeypot field) to reduce the risk of automated abuse.

No method of transmission over the internet is completely secure. We cannot guarantee absolute security, but we take reasonable steps to protect your data and will notify you and relevant authorities of a data breach where required by law.

7. Cookies

This website does not use tracking cookies, marketing cookies or analytics cookies.

The website may use essential session-related browser behavior for form functionality only. No cookie banner is presented because no non-essential cookies are set. If this changes, this policy will be updated and appropriate notice provided.

8. Your rights under GDPR

If you are located in the European Union, the United Kingdom or a jurisdiction with equivalent data protection law, you have the following rights regarding your personal data:

  • Right of access — You may request a copy of the personal data we hold about you.
  • Right to rectification — You may request correction of inaccurate or incomplete data.
  • Right to erasure ("right to be forgotten") — You may request deletion of your personal data, subject to our legal obligations to retain certain records.
  • Right to restriction of processing — You may request that we limit how we use your data in certain circumstances.
  • Right to data portability — You may request your data in a structured, commonly used and machine-readable format.
  • Right to withdraw consent — Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing prior to withdrawal.
  • Right to object — You may object to processing based on legitimate interests.

To exercise any of these rights, contact us at privacy@linuxintelligence.com. We will respond within 30 days. We may ask you to verify your identity before processing your request.

If you believe we have not handled your data appropriately, you have the right to lodge a complaint with your national data protection supervisory authority.

9. International data transfers

Linux Intelligence operates within the European Union. We aim to keep personal data processing within the EU/EEA wherever possible. If any email delivery service used for contact form processing involves data transfer outside the EEA, we take reasonable steps to ensure that appropriate safeguards are in place in accordance with GDPR requirements.

10. Children's data

This website is directed at business professionals and is not intended for individuals under the age of 18. We do not knowingly collect personal data from minors.

11. Links to third-party websites

Our website may contain links to external websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies before providing any personal data.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology or applicable law. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically.
